Your agent is in a viewing. The buyer still gets a proper answer.

PropertyAgent247 is a digital assistant on WhatsApp that answers your buyers on a number in your agency’s name, off your own listing book. It asks how they are paying and what they can spend, then books the viewing into the diary of the agent who holds the mandate. You can read every conversation, and your agents keep their own numbers.

Message it as a buyer would and try to catch it out. It answers as a made-up agency and tells you so. Or read a whole conversation first.

You paid for the advert. Somebody should answer the buyer.

The portal listing, your website, the board on the fence. Every buyer who messages your agency costs you something to find. Then the message lands on the phone of an agent who is in a viewing or sitting with a seller, and you have no way of seeing whether anyone answered it.

Your agency gets its own WhatsApp number for your boards and your website, and a link to it for each listing on each advert. PropertyAgent247 answers it from your listing, and says plainly when the listing does not have the answer. The agent who walks in already knows how the buyer is paying and whether there is a house to sell first.

Watch one enquiry, start to finish

From the advert a buyer saw to the message on the agent’s phone. About 105 seconds.

One conversation, unedited, with our notes in the margin

Twenty messages off our demonstration line, at midday on a Saturday.

  1. Buyer

Hi, is LST-002 in Claremont still available?

  2. Assistant

Hey! Just so you know, this is a live demo and these houses are made up.

But yes – 8 Draper Street in Claremont is available. It's a lovely three-bed with wooden floors throughout, a north-facing garden, and a separate studio out back that works as an office. Right near the Claremont line and Cavendish, so the commute over the mountain is easy if that matters to you.

    What's drawing you to Claremont?

I'm the digital assistant for Kelpwood Properties – this chat is recorded so we can match you with the right agent, and you can ask for a person anytime.

  3. Buyer

Is there a garage, and what is the garden like?

  4. Assistant

Yes, there's a double garage. The garden is north-facing, which means good light and warmth – ideal if you're into plants or just want a sunny spot to sit.

The agent will have photos and can tell you more about the size and what's planted there now. Are you looking for space to garden, or more of a low-maintenance outdoor area?

  5. Buyer

My husband works from home, is there anywhere he could use as an office?

  6. Assistant

Perfect – there's a separate studio at the back of the property, which is set up as an office space. That's ideal for him: he gets his own dedicated area away from the main house, good for focus and keeping work separate.

How soon are you two looking to move? That'll help me find the right viewing slot for you.

  7. Buyer

What are the rates and taxes on it roughly?

  8. Assistant

I don't have those details to hand, but Sipho – the agent on the listing – will confirm them when you view or if you ask directly. Rates and taxes vary by property, so it's worth asking.

Are you thinking of viewing the place soon, or do you need to sort finances first?

  9. Buyer

We are pre-approved up to 3.6 million

  10. Assistant

That's great – and the property at R3.4m sits comfortably in that range. Pre-approval makes viewings smooth and keeps you competitive if you want to move quickly.

When are you two hoping to move? That'll help me line up a viewing with Sipho at a time that works.

  11. Buyer

We need to be in before the end of January

  12. Assistant

That gives you a solid window – almost four and a half months, which is plenty of time. Good.

Let me check what Sipho has open for viewings. Are you flexible across the next week or two, or is there a day that suits you best?

  13. Buyer

We have a place in Rondebosch we need to sell first

  14. Assistant

Got it – so the Rondebosch sale is the key thing. That's a timeline question for you: how's the Rondebosch place going? Is it already listed, or are you still thinking about when to put it on the market?

If it's not listed yet, or you're exploring your options, one of our agents could do a free no-obligation valuation for you. We know that area well.

  15. Buyer

    Marike van Niekerk

  16. Assistant

Thanks Marike. Just to make sure I've got this right – is the Rondebosch place already on the market with an agent, or are you still working out next steps on that side?

  17. Buyer

Could we see it on Saturday morning?

  18. Assistant

Today's Saturday 12 Sep and Sipho's booked this afternoon, but he's got Sunday 13 September morning at 9am or 9:30am free – would either of those work for you and your husband? That's tomorrow, Sunday 13 September.

Or if weekday mornings suit better, he's open early most days next week.

  19. Buyer

Wednesday the 16th at 10am would suit us better

  20. Assistant

Done – you're booked in with Sipho for Wednesday 16 September at 10am at 8 Draper Street, Claremont.

Just so he can send you a confirmation and a reminder the day before – what's the best email to reach you on?

Then this went to Sipho

Before he gets in the car he knows how she is paying, when she needs to be in, and that there is a house in Rondebosch to sell first.

When an agent leaves, their enquiries stay with you

Every enquiry that comes to your agency’s number is on the agency’s record, not only on an agent’s phone. You can read every one, and see what happened to it.

The lead page in the PropertyAgent247 dashboard for Marike van Niekerk at Kelpwood Properties, a demonstration agency: marked Warm, the conversation of 20 messages, every one recorded, with a Take over button, and what the assistant captured, starting with finance pre-approved and a timeline of 141 days.
The same buyer on the dashboard of our demonstration agency, taken from the product.
  1. Every conversation, word for word. Who said what, when, and the moment an agent took over. Leads are archived, and no agent can delete one.

  2. What the buyer told it. Finance, budget, timeline, whether there is a house to sell, and the notes it kept along the way.

  3. Why it went to that agent. The listing it came off and the reason, written down. You can move it to another agent from the same page.

  4. A monthly report. Every enquiry, what happened to it, and how each listing is doing, as a PDF and a spreadsheet you can show a seller.

Two things from you. We do the rest.

Nothing is installed on your agents’ phones, and you do not need a Facebook or Meta account. You are live within a week of us having both.

  1. A SIM card in your agency’s name

A prepaid one that has never had WhatsApp on it. It becomes your agency’s WhatsApp number, on your boards and your website, and the assistant answers it. The number stays yours if you ever leave.

  2. Your listing book, and your agents

The book in whatever your system exports: a spreadsheet, a CSV or a printed PDF. Your own reference numbers are kept. And each agent’s name, WhatsApp number, email address and the hours they show houses.

  3. Then we set it all up

The number registered with your agency’s name on it, your stock loaded with a link for each listing on each advert, the taps on every link counted, and every agent connected. We prove it with real messages on your own number before we invoice you.

What it will not do, and what stays yours

  • It does not market to your database. It only answers people who messaged you first, so nobody gets a message from your agency they did not ask for.
  • Your agents keep their own numbers.Their WhatsApp stays as it is, and the assistant does not answer it. It answers your agency number, and passes each buyer to the agent who holds the mandate, with the questions about finance, budget and timeline already asked.
  • The agent still does the selling. It never negotiates and never handles an offer. When a buyer asks for a person it hands the chat to the agent and goes quiet. The agent can carry on from the dashboard, on your agency number, so the rest of the conversation stays on your record too.
  • It does not invent figures.Price, rooms and features come off your listing book. When a buyer asks for something the listing does not carry, like the rates above, it says so and names the agent who will know.
  • No lock-in.Month to month. The number is bought in your agency’s name, and it leaves with you.

See what it does with your own listings

Send us your agency’s website, or the portal your listings are on, and we build the demo from your own listings, with your suburbs and your reference numbers. Craig Haupt, who built PropertyAgent247, shows it to you: thirty minutes, online. On that call we also look at where your portal enquiries land today.

The button opens WhatsApp with the message written for you, and our own assistant books your call with Craig. If you go ahead, we prove it on your own number before we invoice you. Or try it as a buyer would first.

The conversation, the listing, the agent and the dashboard above are all from Kelpwood Properties, our own demonstration agency. The houses are not real, and the assistant says so in its first reply.
